Editorial Team Publishing Policy

This policy governs how works submitted to the journal by members of the editorial team are handled, with the aim of safeguarding the editorial independence of Cedid and the impartiality of its decision-making processes. The policy is consistent with the ethical principles of COPE (Committee on Publication Ethics), ICMJE and TR Dizin.

Scope

The “editorial team” within the scope of this policy comprises: the Owner of the journal, the Editor-in-Chief, Assistant Editors, members of the Editorial Board and the Advisory Board, Language Editors and the journal secretariat, together with their close colleagues and first-degree relatives.

Fundamental Principle

Members of the editorial team are not prohibited from publishing in the journal; qualified scholarly contribution is the essential consideration. However, since this situation creates a structural conflict of interest, such works are evaluated through a stricter and entirely independent process than standard articles.

Fundamental rule. No member may participate, directly or indirectly, in any decision concerning their own work.

Evaluation Procedure

The following rules apply to submissions authored by a member of the editorial team:

  • Recusal. The member acting as author may not take part at any stage, including reviewer assignment, evaluation, revision and the final decision.
  • Independent handling. The work is managed by another editor who has no conflicting interest with the author. Where the Editor-in-Chief is the author, the process is conducted by an independent editor or guest editor appointed for this purpose.
  • Restriction of system access. The member acting as author may not access the reviewer identities for their own work or the process panel in the journal management system.
  • Double-blind review. The work is evaluated by at least two independent external reviewers (from outside the institution/board); reviewers are not informed of the author’s editorial role.
  • Transparent declaration. The article metadata clearly states that the author is a member of the editorial team and that the evaluation was conducted independently of that role.
  • Record keeping. By whom and in what manner the process was conducted independently is documented in the journal records.

Limits

  • Works by members of the editorial team may not constitute a disproportionate share of an issue or volume; the journal keeps the proportion of editorial content at a reasonable level.
  • The Editor-in-Chief is discouraged from publishing as an author in their own journal during their term of office; where they do so, the process is transferred entirely to an independent editor.
  • The annual number of submissions by members of the editorial team is limited to one per issue in order to preserve editorial independence.

Sanctions

Works found to be in breach of this policy may be rejected irrespective of peer review or, if already published, may be subject to correction or retraction.

Important. Concealment of a conflict of interest constitutes a violation of scholarly publication ethics and gives rise to sanctions including retraction.

Conflict of Interest Statement

Authors who are members of the editorial team are expected to use the following statement, or its equivalent, within the article:

Sample statement. “The author(s) of this work serve on the editorial team of Cedid. The evaluation process for this work was conducted entirely independently of the author(s)’ editorial role, by an editor with no conflicting interest and by external reviewers.”
